An Austin Event Planner & Designer's Guide to Throwing a Celebration Worth Talking About

There's a moment most hosts know well. It usually starts with a vision - a milestone birthday, a holiday party, a mitzvah, a corporate celebration - and maybe a Pinterest board, a guest list, or a venue. Then, almost overnight, it becomes something bigger: vendors to manage, decisions to make, timelines to build, and a guest experience to think through. You have the vision. What you don't have is the time, or a clear path to bring it all together beautifully. That's the moment a good Austin event planner earns their place.

Not to hand you a checklist or a theme, but to take the whole thing off your plate and turn it into something that feels personal, seamless, and deeply cared for. At Mint Events, we're a planning and design studio built for exactly that - helping clients celebrate well without having to manage every detail themselves.

This guide walks through how we think about it, and what actually goes into a celebration worth talking about.

Planning and design: two different pieces, deeply connected

One of the first questions we hear is whether we do planning, design, or both. The honest answer is that they're two different pieces, but they're deeply connected. A beautiful event still needs strong planning, and a well-planned event still needs thoughtful design.

Planning is the structure of the event. It's the timeline, communication, vendor coordination, logistics, budget guidance, floor plans, guest flow, production details, and all the behind-the-scenes pieces that make an event actually work.

Design is the creative direction and overall guest experience. It's the concept, the look, the feel, the color palette, layout, rentals, linens, florals, lighting, signage, furniture, and tabletop details - all the visual layers that make an event feel personal, cohesive, and intentional.

There's a common assumption that design-only work is simply "making things look pretty" or building a quick mood board. It isn't. Design still requires sourcing, vendor communication, proposals, revisions, production conversations, and installation details. Because so many vendors are involved in the design - florals, rentals, linens, lighting, signage, furniture, tabletop, fabrication, and sometimes AV - those details often become our responsibility too. Design naturally overlaps with planning, because creative decisions affect the budget, the timeline, the floor plan, the vendor team, and the guest experience.

When a client hires us for full planning and design, we guide both the creative vision and the complete process from beginning to end. This is where the experience feels the most seamless, because we're managing both what guests will see and everything that has to happen behind the scenes for it to come together effortlessly.

A beautiful event still needs strong planning. A well-planned event still needs thoughtful design. For us, the two are inseparable.

Why how it feels matters more than how it looks

Here's something we believe that the event industry sometimes gets wrong: there's often too much focus on how an event looks, and not enough on how it feels.

Beautiful design matters deeply to us. But design should have a purpose. An event shouldn't be created just to follow a trend, copy something online, or manufacture a single photo-worthy moment. It should reflect the client, the occasion, the guests, and the feeling we want people to have from the moment they arrive to the moment they leave.

So we think about the full guest experience, not just the visuals. How are guests welcomed? What do they see first? Does the space feel comfortable and easy to move through? Does the music match the energy? Is the lighting warm and flattering? Are guests waiting too long at the bar? Is the food served in a way that supports the flow of the evening? Are the details personal to the client, or are they just pretty things placed in a room?

A basic party planner might stop at choosing colors, flowers, rentals, or a theme. We go deeper into arrival moments, guest flow, seating, timing, transitions, signage, comfort, service, sound, and lighting - and how all of it works together to create a feeling. Because for us, design isn't decoration. It's how an event communicates who the client is, what the celebration means, and how guests are meant to feel. No matter the event, our goal is always the same: make the event feel personal, thoughtful, welcoming, and complete.

The hospitality you never see

Hospitality is at the heart of what we do, and it's not only about guests on event day. It's part of the entire Mint Experience.

For guests, hospitality shows up in the details they may never consciously notice but would absolutely feel if they were missing: arrival flow, valet, signage, lighting, sound, temperature, seating, bar placement, food timing, restroom access, coat check, transportation, accessibility, and how easy it is to understand where to go next. It’s the invisible layer behind everything.

For the client, hospitality means you don't feel alone in the process. You feel guided through decisions, protected from unnecessary stress, and supported by a team thinking ahead on your behalf. For their staff or assistants, it means we are organized, clear, collaborative and respectful of the role they play. From the moment you book us, we're thinking about you, your family, your staff or assistants, your guests, and the vendor team - anticipating needs, solving problems, and making everyone feel like they're in good hands.

There's also a production side to this that clients don't always see. Production is the behind-the-scenes coordination that makes an ambitious or transformed event actually work. We're not a rental company, floral company, AV company, or fabrication company. We serve as the creative director and production-minded partner who curates the right vendors, communicates the vision, and thinks through logistics, power needs, lighting, installation timing, and every moving piece.

And hospitality doesn't end when the party does. The event may be over, but the relationship, the follow-through, and the care continue. It's a big part of why so many of our clients return to us again and again.

What luxury actually means

For us, luxury isn't the most over-the-top option. Some of the most elevated celebrations happen when we know what not to add.

We once designed a 25th anniversary celebration where the budget was a real constraint. We still wanted guests to feel something impactful the moment they walked into the room, but we had to be thoughtful about where every dollar went. Instead of decorating the entire space, we focused on one strong focal point at the main table. There was a screen behind it that didn't support the look we wanted, so we added a few feet of draping to cover it with a clean, minimal design. Then we placed eight crystal chandeliers in front of the draping, dimmed the room lights, and let the chandeliers create the glow.

It wasn't the most expensive option, and it wasn't about filling the room with more décor. It was about choosing the one moment that mattered most and making it feel intentional, warm, and memorable.

That's what luxury means to us. It’s not always the most over-the-top choice. It's knowing where to invest, what to edit, and how to create a strong moment that carries the feeling of the entire event.

Here’s what our client had to say:

“It was such a pleasure to work with Carolina and her team! One of the first things she mentioned when we met was that her goal was to transform our sanctuary into something special, and that she did! Her heart is for her clients and that was evident in all she did. She always made sure that we were happy with the direction, and if not, she was ready to pivot. It was also a joy to see her relationship with the vendors she chose... they had such a flow that made things light and easy for us. We are truly grateful for everything her and her team did to make this such an amazing evening! Until next time...” - Barbie M.

Two celebrations, two sides of what we do

The events we're proudest of are usually the ones that challenge us the most - the ones that go beyond a normal theme, a typical venue, or something copied from Pinterest. We love the celebrations that require transformation, production, and creative problem-solving, because those are the ones that end up feeling specific to the client. The most rewarding moment is when a client sees it all come together and realizes it became more personal, more layered, and more impactful than they ever imagined.

The best way to show how we think is with two real celebrations - one where the design created the whole experience, and one where the planning is what made it feel effortless.

When design creates a world

One celebration says it best: a holiday party where we transformed a private home into a full 1880s Gilded Age experience.

This wasn't a matter of adding beautiful holiday décor. The entire event was designed to make guests feel like they'd stepped into another era. We brought in vintage furniture from New Orleans because it had the right character and history for the look. Guests arrived in 1880s-inspired attire, the staff wore period-appropriate servant attire, and the menu was selected and named to reflect the time period. The glassware, dinnerware, music, entertainment, candelabras, lighting, a falling-snow effect, fireworks, and even a vintage horse carriage as guests arrived all supported the same story.

It wasn't about adding random pretty things. It was about creating a world guests could step into - immersive and intentional, never costume-like or overly staged. The design created the atmosphere and changed the feeling of the home, shaping the guest experience and making the celebration feel completely personal and unforgettable.

When planning is what makes it seamless

The other side of our work is the planning guests never see. A good example is a Bar Mitzvah we planned at Troublemaker Studios. This was not a traditional event venue, but a film studio with streets, building facades, uneven spaces, and very little existing event infrastructure. Because of that, the planning side had to be extremely detailed.

We had to think through everything: guest flow, vendor access, setup timing, where each element would live, how the layout would work within the "streets," and even where power outlets were needed, because the space wasn't built like a typical venue. Every vendor needed to understand the plan clearly, because there was no standard ballroom setup to rely on.

That event felt seamless precisely because of all the planning guests never saw. They experienced a fun, immersive celebration that felt natural in the space - while behind the scenes there was a tremendous amount of coordination, problem-solving, and production planning making it all work.

Those two examples show both sides of what we do. Design creates the feeling, the story, and the transformation. Planning makes sure the experience actually works, flows well, and feels effortless for the client and their guests.

What working with an Austin event planner and design studio actually feels like

Luxury Austin event with Kendra Scott

Most of our clients come to us with a vision, inspiration, or an important celebration they care deeply about. But they also come to us feeling overwhelmed and busy, stretched thin, with a vision but no clear way to bring the pieces together. The shift, once we step in, is that they feel guided. The event stops feeling like a pile of ideas and unanswered questions, and starts to feel like there's a plan, a process, and a team thinking ahead for them. They no longer have to hold every detail in their head anymore.

For some clients, that relief comes from seeing the organization behind the scenes - the timelines, budgets, vendor communication, and detailed process. They want to feel informed and included, and we create clarity for them. For others, relief looks different: they don't want to see every spreadsheet, timeline, or logistical detail. They want to know we understand them, their family, their style, and their priorities well enough to make thoughtful decisions on their behalf. For those clients, trust is the service.

Clients often tell us some version of, "I feel so much better knowing you're handling this," "I would have never thought of that," or "I can actually enjoy this now." That's the moment we know they're experiencing the Mint difference. Because the transformation begins before event day. It starts when the client feels cared for, understood, and no longer alone in the process. By the time the event arrives, they're not running around managing details - they're able to be fully present with their family, team, guests, or community, knowing everything has been thought through with care.

That's a big part of the Mint Experience. We learn the client, not just the event. And because we plan and design so many kinds of celebrations, we can become a long-term partner who understands your family, your style, your standards, and the way you like to host. We're here for the big milestones and the smaller, meaningful moments in between. Once someone becomes a Mint client, our hope is that the relationship continues well beyond one event. Not a one-time planner, but the trusted team you call again and again.

Frequently asked questions

Do you offer design only, planning only, or both?

Both. Some clients come to us for full planning and design, and others for design only when there's already a strong planner or venue team managing logistics. We're happy to talk through which fits your celebration best.

What kinds of events do you plan?

We specialize in private and corporate celebrations - milestone birthdays, mitzvahs, holiday parties, at-home gatherings, corporate events, and select destination celebrations.

Do you travel for destination events or weddings?

Yes. We're based in Austin and take on select destination celebrations when there's alignment with our style, process, and level of service.

Do you manage the vendors?

Yes. We curate and coordinate the right vendor team for each event, communicate the vision, and oversee how all the pieces come together - so you don't have to.

Do you provide the rentals, florals, and other physical items yourself?

We're not a rental, floral, linen, AV, or furniture company, so we don't personally own or carry those physical items. Our role is to serve as the creative director and design guide for your event. We create the vision, curate the right vendor team, make sure all the elements work together, and oversee how the creative pieces come to life through trusted vendor partners.

How involved do I need to be?

As involved as you'd like. Some clients want to see every detail; others prefer to trust us with thoughtful decisions on their behalf. We shape the process around how you like to work.
